Task Agent

Task Agent is the intelligence layer behind To-dos. It doesn't replace To-dos—it keeps them accurate. When new email threads arrive, Task Agent maintains a single, live to-do tied to that conversation and updates its status label as the thread moves forward. No filters, labels, or rules to manage.

What it does now

  • Keeps status current as the conversation evolves (e.g., you reply, they reply, a date is set).
  • Reduces manual tagging so your To-dos reflect reality instead of last week's snapshot.
  • Respects your control—you can change any status at any time; your edit always wins.
Today, Task Agent focuses on status updates. It does not auto-complete or auto-close items.

Status Glossary

StatusDescriptionTypical cues
To RespondThe thread requires your reply or action.Direct questions; requests to confirm/decide; phrases like "please reply," "could you confirm," "need your input," "please advise."
Awaiting ReplyYou've replied or acted; the next move is on the other party.Your message was the last one; follow-ups like "just checking in"; "waiting for confirmation," "sent for review," "pending your response."
Review NeededMaterials need your review before moving forward.Attachments or links to drafts/reports/contracts; "please review," "see attached," "feedback welcome," "for your review."
Approval NeededA formal approval/authorization is required from you or a designated approver."Please approve," "budget sign-off," "PTO/leave request," "access/permission request," "awaiting manager approval."
Meeting UpdateScheduling or meeting details have changed or been added.Calendar invites or updates; "rescheduled," "time change," "agenda/minutes," "follow-ups after meeting."
Suggested DoneTask Agent infers the thread is resolved and the to-do can likely be closed (suggestion only)."All set," "thanks, resolved," "no further action needed," delivery/confirmation completed. (You confirm completion; auto-complete is not available yet.)

How it works (at a glance)

  1. Understands intent from subjects and message context (requests, handoffs, confirmations, scheduling cues).
  2. Updates the existing item in To-dos to reflect the latest state of the thread.
  3. Stays out of your way—no changes to your message content or mailbox structure.

What it doesn't do (yet)

  • No auto-complete / auto-close. You finish items manually.
  • No bulk backfill of old mail. Task Agent focuses on new threads to avoid clutter.
  • No forced labels or rules. It augments To-dos; it doesn't rewire your inbox.
